This in an exciting and dynamic role for an Executive Assistant to join Built Environment – Smarter Transformation (BE-ST) to support us in our mission to accelerate the built environment’s transition to zero carbon.

We bring together world-class academia, government bodies and industry at all levels to future-proof the commercial and environmental road forward for our sector. We do this using collaboration to give the sector access the tools, skills and knowledge, which includes our unique £6m campus in Hamilton - the UK construction industry’s first dedicated digital manufacturing, prototyping & future skills centre of excellence.

The role is based at our campus in Hamilton however will occasionally require travel to other locations throughout Scotland.


The Role

As Executive Assistant you’ll provide comprehensive executive support to the Chief Executive Officer, Impact Director, and Leadership Team helping to ensure that work is progressed effectively to meet the institutional objectives/strategy and deadlines.

You’ll be responsible for a broad range of administrative tasks on behalf of the CEO and Impact Director, including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; and maintaining contact lists.

This is a key and rewarding position with BE-ST for someone who thrives in a busy, fast paced and innovative environment. You’ll build relationships across the BE-ST team, alongside industry, academic, and public sector partners, allowing you to use your initiative to support important industry activities and senior stakeholders at a high level.


Who We Are Looking For

We’re looking for someone with energy, flexibility, excellent communication and outstanding organisational skills.


Essential requirements

  • Strong demonstrable experience of delivering executive support to Chair/Director/Board-level
  • Experience in providing secretarial services and supporting external groups
  • Previous experience undertaking administrative tasks in a complex environment
  • Proficient in Microsoft Office and familiar with using the Apple IOS AND Windows operating system
  • Excellent interpersonal and communication skills both verbally and written
  • Ability to deal with senior stakeholders effectively and appropriately
  • Ability to work to deadline within a fast-paced environment
  • Full UK-Valid driving licence and access to own transport

Desirable Requirements

  • Experience working in a complex organisation
  • A basic understanding of Scotland’s construction sector; academic sector or the public sector.
  • Working knowledge of CRM and resource management systems
